Archive and retention of invoices

What the app keeps in which plan, how long you must keep invoices and how to export everything.

What is kept

• App Free keeps no invoice files. The file is downloaded when the invoice is issued; keep it yourself. The number, customer, amounts and payments stay saved, so the invoice list adds up.
• App Plus and App Europe keep every issued invoice unchanged in your account. An issued invoice can be neither changed nor deleted.
• Received invoices from Received are kept by App Plus and App Europe until you delete them. Once deleted, the file is gone from the app for good, so always keep the original as well.

How long it is kept

Your archive is kept as long as you have your account. If you cancel App Plus or App Europe, App Free applies again: the invoices kept so far stay available, and App Free does not keep new ones.

If you close your account, you can still read and export your invoices afterwards. Before we delete any data, we tell you by e-mail.

Legal retention

In Germany, businesses generally keep invoices for 8 years, both issued and received. This is set out in § 14b UStG and § 147 AO. The period starts at the end of the calendar year in which the invoice was issued. Keep an e-invoice in its electronic format.

You are responsible for keeping your records, also when you use the app's archive. This help is not tax or legal advice. If in doubt, ask your tax adviser.

Export

Under Account and data, Download full export downloads a ZIP file: every issued and received invoice unchanged and your data as JSON. The app asks for your password first and, if switched on, the code of your authenticator app.
