Record payments and follow the status
Record payments for an invoice, write off a discount and see which invoices are open or overdue.
An invoice's status
Every invoice has a status: Open, Partly paid, Paid, Overdue or Cancelled. An invoice is overdue when its due date has passed and an amount is still open. The list under Invoices can be filtered by status.
Record a payment
- Open the invoice and choose Record payment.
- Enter the amount received, as it reached your account, and the Payment date.
- Choose the Payment method.
- Choose Save payment.
Partial payments can be recorded too; the invoice is then partly paid. If the customer deducted a discount, choose Write off the difference as discount or deduction. The invoice then counts as paid.
A payment changes only the status. The invoice itself stays unchanged. Remove a payment recorded by mistake with Remove; it stays visible in the history.
Several invoices at once
Select several invoices in the list. You can then use Mark as sent on all of them, or record them as paid in full with Record payment.
Mark as sent
If you sent an invoice yourself, mark it with Mark as sent …. How that works is explained under Send and download.
Refund
If a customer paid too much, the app shows a credit balance. When you pay it back, record that with Record refund.
All amounts in overviews and lists are net. Different currencies are never added up.
